Free CLC audit for hotels

Did every room night make it to CLC?

Compare the Sleep Detail report from the CLC Portal with your PMS stays and get a room-by-room list of nights that have no CLC billing record, plus the ones that need a second look.

For hotels that accept CLC Lodging (Corporate Lodging Consultants) CheckINN cards for crew, construction and railroad stays. Each unmatched night is one you can look up and resubmit before the billing window closes.

Your reservation files stay in your browser. We never see guest names or stay details.

From two exports to a clear review list: PMS stays (expected room nights) plus the CLC Sleep Detail (billing records). Matching room nights are covered; nights without a CLC record need follow-up; a different folio, duplicates and no-shows are listed for review. An unmatched night is a review item, not proof of an unpaid balance.

A practical second look

Know which nights need your attention.

Built around the room-by-room, night-by-night check a hotel would otherwise do by hand.

  1. Choose your two exports.

Your PMS reservation list, in whatever layout it exports, and the Sleep Detail report from the CLC Portal for the same hotel and period. CSV or Excel.

  2. Confirm the columns.

We detect the room, date, reservation number and guest name columns and show you what we found. Fix anything that is off, then set the audit period.

  3. Review the exceptions.

See each room night without a CLC record, and the ones with a different folio number, a duplicate billing, or a billed no-show. Download the list for your team.

Where nights go missing

Four ways a stay never gets billed.

Each one is easy to miss at the desk and easy to find once the two lists sit side by side.

The stay that was never entered

Checked in to the PMS. Never checked in to CLC.

A new desk agent takes the CheckINN card, checks the guest in to the PMS, and never enters the stay in the CLC Portal. After staff turnover, that step is the one most often lost in training.

Every night of the stay goes unbilled, and nothing at the desk looks wrong.

The audit lists each of those nights as “No CLC record.”

The guest who came back

Checked out, then stayed another night.

A guest checks out at 7 AM. An hour later they’re back: the job runs another day. The desk checks them back in under the same reservation, but nobody checks them back in to CLC.

The PMS shows the full stay. CLC stops a night early.

The audit lists that night as “No CLC record.”

The payment on the wrong stay

Applied to the oldest balance.

A CLC check arrives and gets posted to the oldest open balance instead of the stays it actually covers. A few months later the receivables list is full of stays CLC already paid, and nobody knows what is really unbilled.

The audit rebuilds the list from the source: which room nights CLC has a record for, and which it doesn’t.

Start from the nights, not the balances.

The mistyped number

Right room, wrong folio.

The stay was billed, but the folio keyed into CLC doesn’t match the reservation number in the PMS. Searching by number, it looks unbilled.

The audit matches on room and nights first, so the stay is found and both numbers are shown together.

Listed as “Reference differs,” with both numbers.

Your hotel’s data stays with your hotel.

The comparison runs on your device. We never see your guest names, reservation details or CLC records; they stay in the open page and are gone when you close it.

Reservation files & CLC details

Guest names, room numbers, folio numbers, dates and amounts are read in memory in this browser tab and never sent to Hotelier Systems. Clear them when you finish; refreshing also resets the audit.

Contact & hotel details

Your name, email and hotel personalize the report and let us follow up. We also keep a summary of the audit (the period, how many nights were checked and how many matched) so we can help if you have questions. Nothing about individual guests or stays is part of that.

Updates

A separate, optional checkbox lets you ask for occasional hotel resources and HOPE updates. It is not required to get the report.

Before you start

A few useful details.

What should be in each file?

From your PMS: a list of the CLC stays for the period, with room number, check-in and check-out (or nights), the reservation or account number, and the guest name. The reservation number is how you’ll find the stay in your PMS or records when the report flags it; the guest name makes the report easier to read. From CLC: the Sleep Detail report from the CLC Portal for the same hotel and period. Export both as CSV or Excel. We will ask you to confirm which column is which.

Does a match mean CLC has paid?

A match means a CLC billing record exists for that room and night. The report also shows CLC’s own status for each one (Check Cut, Invoiced or Entered), so you can see which nights have been paid and which are still in process. Confirm amounts against your deposits.

What if we keyed a different number into CLC?

The audit compares room numbers and the nights of each stay first, not the folio. That is how it finds rooms your PMS shows as occupied that CLC has no record of, and it also catches stays that were billed under a mistyped folio or reservation number. When the room and nights match but the numbers differ, the report lists both numbers side by side so you can confirm it is the same stay.

What about duplicates, room moves and no-shows?

Two CLC records for the same room and night, two PMS stays sharing a room and night, and billed no-shows are each listed separately for review. Split a room move into separate rows with the correct rooms and dates before you export.

Why ask for my contact information?

Your name and hotel personalize the report, and we keep a summary of the audit so we can follow up or help with questions. Guest names, reservation rows and CLC records are never part of that record.

Is this affiliated with CLC?

No. This is an independent Hotelier Systems tool. It compares the exports you provide; it does not access a CLC account or submit billing.

Start with your PMS list.

Export the CLC stays for the period from your PMS, in whatever layout it offers, as CSV or Excel. It is opened here in your browser and never uploaded.

Needs room number, check-in and check-out (or nights). Add the reservation or folio number so you can find flagged stays in your PMS, and the guest name so the report reads easily. Excel workbooks with several worksheets show a worksheet picker after loading. One hotel per audit.

Before choosing the PMS file: filter the PMS export to CLC stays only (rate code, market segment or payment type, whatever your system offers); include complete stays that cross the period boundaries; split room moves into separate rows with the correct rooms and dates.
